What Airtable is good at

  • Familiar grid view that non-technical teams can use as a shared database.
  • Built-in automations: 25,000 runs a month on Team and 100,000 on Business.
  • If you go over record or attachment limits, Airtable keeps your bases usable and never removes your data.

Where Airtable breaks

  • Record caps per base are firm: 1,000 on Free, 50,000 on Team, 125,000 on Business; you cannot add more records until you upgrade.
  • Every automation trigger counts as a run, so failed runs also use up the monthly allowance (100 runs a month on Free).
  • API calls are capped at 1,000 a month on Free and 100,000 on Team per workspace.

When a custom build beats Airtable

When data outgrows the per-base record caps or needs real relational queries, a proper database with a small app is the better home.
