What Zapier is good at
- Its app directory lists 10,217+ apps, the widest catalog in this group.
- Failed actions are not counted as tasks, so you only pay for work that completed.
- When you hit your task limit, Zap runs are held rather than lost, and pay-per-task can keep them running.
Where Zapier breaks
- Multi-step workflows at volume get costly: every completed action is a task, and overage is billed at 2.5x the base rate on monthly plans (1.25x on annual).
- A Zap is capped at 100 steps including paths, and the free plan only allows two-step Zaps.
- Polling triggers on Free and Trial plans are held past 200 requests every 10 minutes per Zap, and bursts of 100+ events are replayed at 1 per second.
When a custom build beats Zapier
When one workflow runs thousands of multi-step jobs a month, a small custom script or agent usually costs less than the task bill and can hold logic Zapier steps cannot.
