Who this is for
Teams that need an internal tool for tracking records, deciding between a spreadsheet-style database and a builder that sits on top of the database they already have.
Side by side
| Compared on | Airtable | Retool |
|---|---|---|
| What it is for | A spreadsheet-style database where teams store records and run simple automations. | Internal tools such as admin panels and dashboards on top of your own databases and APIs. |
| Starting price (checked 2026-10-09) | $20/user/month billed annually (Team); free plan. | $10/month per builder plus $5/month per internal user (Team, billed annually); free for up to 5 users. |
| Where the data lives | In Airtable's own bases. | In your existing databases and APIs; Retool connects to them. |
| Limits | Records per base: 1,000 Free, 50,000 Team, 125,000 Business; 25,000 automation runs a month on Team. | Workflows: 100 concurrent runs in 15 minutes, 200-run burst in 10 seconds, 2.5GB memory per run on cloud. |
| Where it breaks | Failed automation runs still count; API capped at 1,000 calls a month on Free. | Business is $50 per builder and $15 per internal user; external users past 50 billed per user. |
| Setup | No-code. | Low-code. |
| A custom build beats it when | Data outgrows the record caps or needs real relational queries. | The tool becomes customer-facing or needs a fully custom interface. |
The verdict
Both get a team an internal tool without a full custom build, but they start from different places. Airtable is the database and the interface in one: non-technical people use it like a shared spreadsheet, with built-in automations, from $20 per user a month billed annually; its record caps per base are firm (50,000 on Team) and API calls are capped. Retool needs a database or API to build on, and works best with a developer, then gives you drag-and-drop admin screens with JavaScript where needed, in the cloud or self-hosted, from $10 per builder plus $5 per internal user a month on Team; costs grow with headcount and Workflows have hard limits.
Pick Airtable if you have no database yet and a non-technical team; pick Retool if your data already lives in a database and you have a developer.
