What Apollo.io is good at

  • Has a free plan with no time limit, so you can try search and outreach before paying.
  • Credits are pooled across the whole team and granted at the start of each billing cycle.
  • Has a documented API, available even on the free plan (50 requests a minute, 600 a day).

Where Apollo.io breaks

  • You need lots of phone numbers: an email or profile costs 1 credit but a mobile number adds 8 more, and unused credits reset each cycle with no rollover (Apollo docs and pricing FAQ).
  • Data quality matters a lot: Trustpilot reviewers (3.1/5 from 1,352 reviews) report wrong numbers and high bounce rates, plus slow support.

When a custom build beats Apollo.io

Rarely for the database itself, since you cannot build a contact database yourself; a custom layer only helps for verifying or scoring Apollo exports before sending.
